Read the concern before drafting
Identify the actual issue: a delay, an unanswered question, a mismatch in expectations or something else. Separate what the reviewer says from facts your business has verified. If the situation is unclear, ask the person responsible for that part of the service.
Acknowledge the experience
Use a calm, individual response. Recognize the concern and apologize where appropriate. Do not challenge the reviewer’s motives or make an admission you cannot support.
Offer a next step you can deliver
Point to a working support channel or explain an action that has actually been approved. Do not say that a refund was issued, a policy changed or an investigation completed unless that is true.

Keep private details private
Public replies are visible to other people. Leave out order numbers, addresses, health information and other personal details. Move the conversation to an appropriate private channel when more context is needed. In sensitive sectors, avoid confirming that the reviewer is a customer or patient.
Resolve the issue without a condition
Support should never depend on the customer editing or removing a review. If you believe content breaks a platform rule, use its official reporting process with accurate evidence. A critical opinion alone does not establish a policy violation.
Approve, then learn
Check the draft for tone, accuracy and privacy before publishing. Add any recurring issue to your internal improvement list. The customer decides whether to respond or update their review.
